The ideal candidate will bring 4-6 years of litigation experience, exceptional organizational skills, and the ability to manage multiple priorities in a fast-paced, collaborative environment.
Responsibilities
- Provide comprehensive administrative and litigation support to attorneys and paralegals handling trust, estate, probate, conservatorship, and related civil litigation matters
- Manage complex calendars, , including court hearings, filing and service deadlines, discovery deadlines, and other case-related deadlines
- Navigate and apply the California Code of Civil Procedure, California Probate Code, California Rules of Court, and San Diego Superior Court Local Rules in connection with calendaring, filing, service, and other litigation and probate procedures
- Monitor probate notes and tentative rulings; assist with clearing probate notes, preparing and filing supplemental documents, and addressing upcoming hearing and filing requirements
- Coordinate depositions, mediations, consultations, client meetings, and attorney conferences, including scheduling court reporters, conference rooms, and other vendors as needed
- Prepare, revise, format, and proofread legal documents, including probate petitions, objections, pleadings, discovery, notices, proofs of service, and Judicial Council forms
- Draft and revise routine correspondence, engagement letters, conflict waivers, transmittal letters, and other client communications, and assist with new client intake and matter openings
- Coordinate electronic filing and service of documents in California state courts, particularly the San Diego Superior Court Probate Division
- Prepare and organize exhibits, hearing and trial binders, deposition materials, and other case materials, and maintain organized electronic and physical case files
- Communicate professionally with clients, court staff, opposing counsel, and vendors
- Track certified mailings, overnight deliveries, and manage document flow
- Process invoices, check requests, filing fees, and other matter-related expenses
Required Experience
- Minimum of four to six years’ experience as a Legal Assistant with civil litigation experience, preferably with experience in Trusts & Estates Litigation
- Proficiency in Outlook, Word, Excel, DocuSign, document management systems, and electronic filing systems
- Strong organizational skills, with exceptional attention to detail and accuracy
- Superior oral and written communication skills
- Excellent interpersonal skills and the ability to communicate professionally and effectively with clients, attorneys, court personnel, vendors, and coworkers
- Ability to manage multiple matters, deadlines, and competing priorities
- Ability to work independently, exercise sound judgment, and take initiative while collaborating effectively as part of a team
- Diligent in meeting deadlines and completing assigned tasks, following through on assignments, and ensuring tasks are completed accurately and timely
- Ability to handle confidential and sensitive information with discretion and professionalism
